New Clubhouse Rental Procedures–Effective Immediately

The Old Mill Homeowner’s Association offers rentals of its clubhouse only to current Old Mill residents. All rentals are on a first come first served basis. All unavailable dates will be posted on the Clubhouse booking calendar.  Potential renters must check this to see if the date they are requesting is available prior to submitting paperwork.

The clubhouse rental events must occur from 8:00 AM to 10:00 PM. Rental times include setup and cleanup. Rental of the clubhouse includes use of all indoor clubhouse facilities including, TV, kitchenette complete with microwave and mini fridge, a large social room, and restrooms. Also for your use, there are 8 long rectangular and 20 folding chairs.  The maximum capacity for the clubhouse is 50 people, exceeding this limit will forfeit your deposit.

48 hours before your rental date you will receive by E-mail, the combination to the clubhouse and additional information on your rental

It is of the utmost importance to remember that The Clubhouse Coordinator is a volunteer. All communication must be limited to email. He/she will respond as quickly as possible. If you encounter any problems or have any questions please send an email to clubhouse@oldmillhoa.com

 Reserving the Clubhouse:

Step1

Check the calendar for the availability of your desired rental date. (All available dates are in green)

  • Click the available date you would like to book
  • Fill out your First and Last name, Email, Phone number, and current Old Mill Address in the “Details” field. Once this is completed, the date you chose will turn yellow.
  • Only after the Rental fee, signed Reservation Agreement, and Security Deposit are received, will your date be approved and the square will turn red.

Step2

Within 48 hours, turn in the following into the Clubhouse mailbox (12292 Sugar Mill Drive):  If the following is not received with in 48 hours your reservation will be canceled.

  • Rental fee of $50.00 (Check)
  • Signed copy of the Reservation Agreement
  • A security deposit of $100.00(Post dated Check)
    • The deposit will be returned/ shredded after the rental only if the renter has cleaned the Clubhouse as stipulated on the Rental Checklist AND there are no violations of the Reservation Agreement.

**Please make all checks payable to Old Mill Homeowners Association. The address on all checks must be an Old Mill address. Only the Deposit check ($100.00) should post dated to the date of the event.

**If cancellation occurs within 7 days of your scheduled rental all rental fees are forfeited
