Old Mill HOA Board Meeting

6:30pm @ Clubhouse
In Attendance: Rob Ray, Doug Pourciau, Tracy Dibenedetto, Cory Dibenedetto, Rick Munch, Kenny Brown.
Richard Thompson arrived to the meeting at 7:45pm.
Start time for meeting was 6:40pm
Rick Munch addressed the board and stated that they were there to finalize the HOA’s responsibility involving homeowners installation of bulkheads.
Rick proposed a $1,500 cap (max) to each pond lot owner who chooses to install a bulkhead. Proposal of $1,500 ONLY to include: backfill, sod and to restore EXISTING fencing where required. This is to be paid directly to the contractor(s) upon COMPLETION. Rob requested to raise cap to $1,800. Tracy requested to raise cap to $2,000. Kenny also requested to raise cap to $2,000 which was seconded by Rob. All members present agreed (Rob, Doug, Tracy, Cory, Rick, Kenny) without objections and voted for cap of $2,000.
Final Outcome: HOA to pay for backfill, sod and to restore EXISTING fencing where required with a cap of $2,000.00 which will be paid directly to the contractor(s) by the HOA upon COMPLETION.
Doug brought up the tree on/in the pond on the North side (Millgate) that may need to be removed for those homeowners to install their bulkheads. As per Rick that will be the HOA’s responsibility and those funds to do that (if necessary) will NOT be included in the $2,000 cap. Also mentioned were the electrical components on the East side (Old Millstone) of the pond that supply the power to the fountains in the pond. As per Rick that will also be the HOA’s responsibility and those funds to modify, etc (if necessary) will NOT be included in the $2,000 cap.
Doug spoke to HOA attorney and gave board members copy of new covenants, amendments, restrictions regarding the installation of bulkheads to be approved by board. Doug recommended to approve all. All board members present (Rob, Doug, Tracy, Cory, Rick, Kenny) voted to approve with no objections. Doug mentioned that as per the HOA attorney our HOA President must sign the new documents.
Rob Ray volunteered to be President of the board. Rick Munch volunteered to be Chairman/Vice President of the board. Richard Thompson to remain as treasurer and Jessica Benson to be named as secretary. All board members present (Rob, Doug, Tracy, Cory, Rick, Kenny) agreed, voted yes with no objections. As of this meeting/vote Rob Ray-President, Rick Munch- Chairman/Vice President, Richard Thompson-treasurer and Jessica Benson-secretary.
Rick requested from this day forward NO HOA contracts will be approved/signed without board approval. All in favor/agreed with no objections(Rob, Doug, Tracy, Cory, Rick, Kenny).
Rick would like to look into using Google to upload HOA documents for board members to access, etc. Tracy will look into that.
Rob notified Richard of new votes/approvals that took place before he arrived.
Rob requested copies of current HOA contracts (lawn, maintenance, pool, etc).
Tracy asked if everyone was ok with having an opening pool party. All agreed.
Tracy asked that the board have set meetings every month. All members present (Rob, Doug, Tracy, Cory, Rick, Kenny, Richard agreed to 2nd Wednesday of the month at 7pm.
Richard asked for someone to be added to bank accounts to sign checks since Jody Lemoine was no longer with the board. Kenny agreed. Richard and Kenny to go to bank to handle.
Richard advised that 5 homeowners have not paid dues. He advised that he has sent each homeowner 2 letters and the next step in to contact our attorney.
Meeting ended approximately 8pm.
