Old Mill HOA Monthly Board Meeting

June 11, 2024  6:15pm

Scott called meeting to order at 6:37pm, seconded by Amber.

Attendance: Scott Padgett- President, Rick Munch, Vice-President, Amber Chambliss- Treasurer, Susan Watson- Secretary, Heather Lukse- Clubhouse Chair, Alberta Gauthier- Beautification Chair, Amy Turner, Social Chair.

Topics of meeting:

  1. Homeowner Dues- Non payment update
  2. Covenants update
  3. Treasurer report
  4. Beautification- entrance areas
  5. Pool/Clubhouse

Residents in attendance (virtually) Stephanie Brown, Josyln Smith.

Stephanie Brown opened with question to have trees on Hwy 73 trimmed? Concern could lead to roof damage. Scott advised we can get trees trimmed and further discussing tonight companies to do it.

Joslyn Smith asked who is in the running for landscaping companies. Scott advised MowMasters and Watts Landscaping.

  1. Resident dues still outstanding: One more has paid since last month. At this point 7 liens are scheduled to be placed. Scott is in communication with others to collect payment.
  • Scott is working with attorneys on updating covenants and restrictions. Once the final drafts are in place, a vote will take place amongst residents for approval on these updates. The vote will require 75% in favor of changes to go into effect.
  • There will be an additional expense beginning June for Rev (wi-fi) in clubhouse for rentals. Board to discuss existing board of Director’s insurance policy. Policy details are needed. Susan Watson to contact insurance agent to obtain more information concerning coverage and need to policy.
  • Beautification: main entrance landscaping has been installed. Watts Landscaping completed the job. It was brought to the attention of the board, the number of plants/flowers were less than typical on this. Mrs. Alberta has contacted Watts to come back out and make adjustments at no additional cost.  The irrigation system on 74 has been set to come on for 5 min every M/W/F beginning at 6am.

A workday has been planned on June 23, 2024 from 2-8pm at the clubhouse to pressure wash and clean up landscaping around pool deck area.

  • Pool lights are still being worked on by Rick Munch. Smart thermostat has been installed in clubhouse to allow for programming temps pre/post rentals as well as notifications when temperatures don’t meet the set temperature.
  • The fence along 74 is scheduled to be repaired on 6/26/24.

Rick Munch has updated the reader boards at both entrances.

  • The board is discussing the monetary fine amounts for HOA violations. The violation process will begin with a warning. Warning can be in the form of a letter, in person, email, etc. After warning, fines will be issued, and liens thereafter if necessary.

Scott motioned for meeting to be adjourned at 8:42pm, seconded by Amber. Meeting adjourned.
